MEDARS CRM

Quotes, invoices and Verifactu for your cosmetic medicine clinic.

From the quote to the invoice without leaving the patient’s record, with Verifactu’s rules built in from the outset: invoices that cannot be altered, corrections via amending invoices and a linked record.

WHEN IT AFFECTS YOU

The two dates in 2027.

1 January 2027

Clinics incorporated as companies that are subject to corporation tax.

1 July 2027

Self-employed doctors who pay income tax and all other taxpayers.

Who is affected

Anyone who issues invoices using computer software. This is governed by Royal Decree 1007/2023, and the deadlines are set out in Royal Decree-Law 15/2025.

WHAT IT ALREADY DOES

Invoicing in accordance with Verifactu’s rules.

From the quote to the invoice

Items with VAT, a quote in PDF format and one-click invoicing.

Numbering by series and year

One series for invoices, another for corrective invoices, both of which reset to 1 on 1 January.

Invoices that remain unchanged

Once an invoice has been issued, it cannot be edited or deleted. Only its payment status changes.

Corrections and cancellations

Errors are corrected by means of a corrective invoice, and invoices issued in error are cancelled, always for a valid reason.

Data as at the date of issue

The date, clinic details and patient details are set out on the invoice. It is either a full or simplified invoice, depending on whether a tax identification number (NIF) is provided; a notice is included for amounts over €400 where no NIF is provided.

Chained record

Every issue and every cancellation leaves a record bearing the details of the previous one, as required by the Tax Authority.

WHERE WE ARE

What’s missing, to put it plainly.

The CRM’s invoicing feature is set up for Verifactu, but the sending of records to the Tax Authority has not yet been activated. Until then, it issues pro forma invoices, marked as not valid for invoicing purposes, and your official invoice is generated by your invoicing software. We will let you know when this can be activated in your account.

QUESTIONS

Frequently asked questions.

When is Verifactu compulsory for a clinic?

If the clinic is a company subject to corporation tax, from 1 January 2027. If you are self-employed and pay income tax, this will apply from 1 July 2027. This is laid down in Royal Decree-Law 15/2025 and applies to anyone who issues invoices using computer software.

Are invoices from MEDARS CRM now valid as invoices?

Not yet. Until we enable submission to the Tax Authority, the CRM issues pro forma invoices marked as not valid for invoicing purposes. In the meantime, it issues the official invoice via your invoicing software.

How do I correct an invoice that has already been issued?

With a corrective invoice. The CRM system generates it with negative line items for you to adjust, and asks for the reason. An invoice issued in error is cancelled with a reason given.

What happens to invoices if a patient asks for their data to be deleted?

Invoices that have been issued are retained under their original names, as the law requires them to be kept. All other details are deleted.

Are cosmetic medicine treatments subject to VAT?

It depends on the purpose of each treatment. Discuss with your adviser which treatments are exempt.
